Service & Payment Policy

Sackville Property Services provides landscaping, drainage, grading, sod installation, outdoor construction, hardscaping, snow and ice management, and related property services across Sackville, HRM, and surrounding areas.

This policy outlines how scheduling, payments, deposits, service concerns, weather delays, site conditions, and client responsibilities are handled. Our goal is to keep every project clear, fair, and professionally managed from the first request to final completion.

Estimates, Scope of Work & Approvals

All work is based on the approved estimate, invoice, written scope of work, or service agreement provided before the job begins.

The approved scope outlines the work to be completed, materials included, project area, pricing, and any known exclusions. Any additional work, changes, upgrades, or unexpected site conditions may require a revised estimate or additional approval before proceeding.

Verbal discussions, photos, messages, or site conversations do not replace the approved written scope unless confirmed in writing by Sackville Property Services.

Payments & Fees

Payment is due according to the approved estimate, invoice, or service agreement.

For one-time services or projects, payment may be required upon completion unless a different payment schedule has been agreed to in writing.

For larger projects, payment may be split into deposits, progress payments, material payments, or final completion payments depending on the size and type of work.

For recurring or seasonal services, billing terms will be confirmed before service begins and may be billed weekly, monthly, seasonally, or on another agreed schedule.

Late payments, unpaid invoices, returned payments, or delayed payments may result in paused service, delayed scheduling, collection action, or additional fees where applicable.

Deposits & Scheduling

Deposits may be required for certain projects, installations, seasonal services, or scheduled work.

Deposits help secure scheduling, labour, equipment, materials, subcontractors, and supplier coordination. Once work has been scheduled, materials have been ordered, or project preparation has begun, deposits may be non-refundable.

If a client needs to reschedule, Sackville Property Services will make reasonable efforts to move the project to another available date. Rescheduling depends on weather, route planning, crew availability, material availability, and the current project schedule.

Short-notice cancellations may result in loss of deposit, rescheduling fees, or additional charges if labour, equipment, materials, or supplier costs have already been committed.

Weather, Site Conditions & Delays

Many services depend on weather, ground conditions, access, soil conditions, drainage, material availability, and site readiness.

Rain, snow, freezing temperatures, wet ground, soft soil, equipment limitations, supplier delays, utility locates, or unsafe conditions may affect scheduling or the way work is completed.

Weather delays, ground conditions, or site limitations do not automatically qualify for refunds. Sackville Property Services will make reasonable efforts to complete the approved work properly and safely once conditions allow.

Access & Client Responsibilities

Clients are responsible for providing safe and reasonable access to the work area at the scheduled time.

This includes unlocking gates, clearing vehicles or personal items, securing pets, identifying known underground systems, and making sure the work area is accessible for crew, tools, equipment, trailers, and materials.

Delays or inability to complete work due to restricted access, unsafe conditions, unprepared sites, hidden obstacles, inaccurate information, or client-caused delays may result in rescheduling, additional labour charges, equipment charges, or other added costs.

Clients are responsible for notifying Sackville Property Services of any known underground utilities, private lines, septic systems, irrigation, drainage systems, buried cables, underground structures, or other site risks not identified through standard utility locates.

Service Concerns & Corrective Work

If a client believes work was incomplete or not completed according to the approved scope, concerns should be reported as soon as possible, ideally within 48 hours of completion.

Sackville Property Services will review the concern and compare it to the approved scope of work, site conditions, project details, and any documented communication.

Where appropriate, we may arrange corrective work, a site review, or another reasonable solution. Corrective work is based on the approved scope and does not apply to new requests, added work, client changes, normal settling, weather impacts, misuse, lack of maintenance, or conditions outside the original agreement.

Refunds are not automatically provided for service concerns. Our priority is to review the issue fairly and determine the proper corrective step where one is required.

Materials, Living Products & Maintenance

Some services involve natural materials, soil, sod, seed, plants, mulch, gravel, stone, or other products that can be affected by weather, watering, drainage, use, soil quality, and client maintenance.

Sod, seed, plants, and other living materials require proper care after installation. Watering, traffic control, mowing timing, drainage, sunlight, soil conditions, and weather can all affect results.

Sackville Property Services is not responsible for damage, failure, drying, washout, rutting, settling, weeds, erosion, or deterioration caused by lack of maintenance, extreme weather, improper watering, heavy use, animals, third parties, or site conditions outside our control.

Workmanship & Project Follow-Up

Sackville Property Services stands behind the work outlined in the approved scope.

If something does not match the agreed project details, clients should contact us promptly so we can review the concern and determine the appropriate next step.

Workmanship follow-up does not cover normal wear and tear, weather damage, ground movement, drainage issues caused by conditions outside the scope, client changes, third-party work, lack of maintenance, or issues caused by existing site conditions.

Any warranty or follow-up terms may vary depending on the service type, materials, site conditions, and approved scope of work.

Changes to Scope

Any work requested outside the approved scope may result in additional charges.

This includes extra areas, additional materials, deeper excavation, extra grading, added disposal, hidden debris, poor soil conditions, drainage changes, access issues, or design changes requested after approval.

Sackville Property Services will communicate required changes where possible before additional work is completed.

Acceptance of Terms

By requesting and authorizing services from Sackville Property Services, the client acknowledges and agrees to this Service & Payment Policy.

This policy is subject to change without notice and applies to all services unless otherwise agreed in writing.
